A folder full of unrelated PDFs is easy to forget. A simple structure makes vehicle documents useful when you need to sell, maintain or compare the car.
Separate the original build from later events
Store the factory equipment report in an “Original specification” folder. Keep service invoices, inspections and later modifications separately. The distinction prevents an old factory record from being mistaken for a statement about the vehicle today.
Name files so they are easy to find
Use a consistent date format and document type. Include only the identifying information you need. If sharing the folder with a buyer, review it first for addresses, account details and other information that is not relevant to the sale.
Download both versions
VINBYCAR provides a colour report and a print-friendly PDF. Save them while download access is available. A saved PDF can be read later without relying on an email link, but it still reflects the data available when the report was prepared.
Keep unanswered questions visible
Add a short note for features that need checking, rather than editing the report to fill gaps. This keeps source information distinct from your observations and helps the next person understand what has actually been confirmed.
